How we activated eight research sites across five countries in a single day

Background
Little Journey partnered with a global pharmaceutical company and leading Contract Research Organization (CRO) to support a multi-site trial across five countries. The trial protocol included multiple procedures, ranging from blood and urine tests to ECGs and subcutaneous infusions. As paediatric specialists, Little Journey were brought in to help children familiarise themselves with their research site and each procedure - providing education and support to improve patient experience, protocol compliance, and retention rates.
Challenge
Meeting trial timelines
80% of clinical trials are delayed, multi-site trials are more likely to face delays due to increased complexity and coordination versus single-site trials. Our client needed a vendor who could work directly with each site to meet their individual timelines for first patient in.
Burden on site staff
Research staff running paediatric clinical trials often manage multiple studies at once, each with its own systems, processes, and documentation requirements. Our client needed a solution that could seamlessly integrate into existing site workflows and that staff would feel confident introducing to patients and their families.

Efficient set up processes, remotely or on-site
Scheduling two on-site and six remote activation sessions enabled us to smoothly launch all eight sites in one day. Whether remote or on-site, our success team follow a standardised activation process:
Sites gave a 100% satisfaction score for the information provided in these sessions, delivered through a mix of verbal training, slide decks, and web resources.
Our streamlined process allows our site success team to efficiently engage site staff and gather everything needed to configure the app.
We then tailored the app for each site - adding real 360° images of waiting areas and procedure rooms, site location maps, and contact details. This accurate, relevant information helps reduce the logistical burden on families and familiarises patients with the environment, lowering their anxiety on the day to enhance both compliance and experience.
